Comm-Piler™ is operated by Simon J Williams in the United States. This Privacy Policy describes how we collect, use, and share personal information in connection with the Service, and explains certain rights for California residents under the CCPA/CPRA.
We may collect: account identifiers (such as username and email); authentication and security data; profile or contact details you choose to provide; usage and device information (such as IP address, browser type, and timestamps); and content you submit to the Service (for example, plans, channels, or incident-related data).
We use information to operate and secure the Service, authenticate users, provide features, communicate with you, troubleshoot issues, comply with law, and improve the Service. We may use aggregated or de-identified information that cannot reasonably identify you.
We may share information with service providers who assist us (for example, hosting or email delivery), when required by law, or to protect rights and safety. We do not sell your personal information for money. If we ever engage in “sharing” for cross-context behavioral advertising as defined under California law, we will provide appropriate notices and choices.
We retain information for as long as needed to provide the Service and for legitimate business purposes such as security, backups, and legal compliance.
California residents may have the right to request access, correction, deletion, and information about certain disclosures, and to limit use of sensitive personal information where applicable. You may submit requests by contacting us at the email below. We will verify your request consistent with applicable law.
We use reasonable administrative, technical, and organizational measures to protect information. No method of transmission or storage is completely secure.
The Service is not directed to children under 16, and we do not knowingly collect personal information from children under 16.
We may update this Privacy Policy from time to time. We will post the updated policy on the Service and update the “Last updated” date. Material changes may require additional notice as described in our Terms of Service.

Comm-Piler sends transactional SMS only to phone numbers added by an authenticated operator (for example, a per-incident helpdesk roster) or self-entered at equipment checkout. We do not use SMS for marketing or promotion. Full opt-in workflows and sample consent language are published at SMS opt-in and consent.
Sub-processor. SMS delivery is provided by Twilio Inc.; phone numbers and message bodies are transmitted to Twilio for delivery only.
Information collected. When you receive Comm-Piler SMS, we may store: phone number (E.164), opt-in source and timestamp, message tag (for example comm-it-helpdesk, cachepoint-recall), Twilio delivery status, and any opt-out timestamp recorded via STOP.
How to opt out. Reply STOP to any Comm-Piler SMS to unsubscribe. Reply HELP for help. Reply START to resubscribe. Opt-outs are global per phone number and are reflected in our operator tools so opted-out numbers are not selected for new sends.
Frequency and charges. Messaging is incident-driven and intermittent. Message and data rates may apply; Comm-Piler does not charge recipients to receive SMS.
Retention and sharing. SMS delivery records are retained with the related incident under our standard retention policy. We do not sell, rent, or share phone numbers for advertising or unrelated purposes. SMS privacy questions: [email protected] and [email protected].
Comm-Panion is our official mobile client for Comm-Piler. It uses the same account and connects to the same Comm-Piler API as the web application (api.comm-piler.com). This section describes mobile-specific collection and device permissions. It supplements sections 2–5 above; where they differ, this section controls for Comm-Panion.
Platforms. Comm-Panion is distributed through Apple App Store / TestFlight on iOS. An Android build may be offered separately; the same privacy practices apply when an Android client is available unless we state otherwise at download time.
Account and session data. When you sign in, Comm-Panion stores authentication tokens in the device secure storage (for example, iOS Keychain via Expo SecureStore) so you stay signed in. Tokens are sent to our API over HTTPS. Sign out clears app session tokens; you can revoke mobile sessions from Comm-Piler account tools where available.
Device permissions (requested only when needed). Comm-Panion may ask for:
You can deny or later revoke any permission in your device Settings; features that depend on that permission will not work until you allow it again.
Contact import and share extension. When you import a contact, Comm-Panion sends the fields you confirm (name, agency, email, phone, address, and related roster fields) to our servers to create or link a contact in your organization's Comm-Piler roster. Duplicate detection may compare against existing roster entries you are allowed to see; we do not use imported contacts for advertising or sell contact lists. If you share a contact into Comm-Panion while signed out, a minimal draft may be held locally on the device for up to about 15 minutes so you can sign in and finish import; it is deleted after successful import, cancel, or sign out.
Optional CarrierWave network telemetry. In Profile, you may opt in to share anonymized mobile network signal samples (and approximate location when location permission is granted) to help your comms unit spot cellular or data problems near an incident. This is off by default, incident-scoped unless you enable reporting for all incidents, and sent only while the app is in use with a working incident selected. Samples are stored with the related incident under our standard retention policy.
App store privacy labels. Apple App Store Connect and Google Play data-safety disclosures for Comm-Panion are aligned with this policy. Categories we declare may include contact info, identifiers, usage data, and coarse location depending on features you use. We do not use Comm-Panion data for cross-app tracking or sell personal information.
